RMEWF Education Grant documents required: the full checklist

The RMEWF Education Grant needs seven core documents: the service document or discharge book, the ESM or widow identity card, the child's mark sheet or progress card for the completed year, a Part II Order naming the children (unless already in the discharge book), a self certificate on no other allowance, the ex-serviceman's bank account with IFSC, and the Aadhaar card. All copies must be duly attested by the respective Zila Sainik Welfare Officer before the online application is finalised.

The checklist and what each document proves

  • Service Document or Discharge Book (mandatory), the pages carrying the ESM personal particulars, service particulars and family particulars. This proves the ex-serviceman's rank is Havildar or equivalent and below, and links the children to the record.
  • ESM or widow identity card (mandatory); issued by the respective Zila Sainik Board. Proves the applicant is a registered ex-serviceman or widow.
  • Mark sheet or school progress card (mandatory), for the just-concluded academic year, which must have been completed successfully. Proves the class studied and that the year was passed.
  • Part II Order naming the children (mandatory unless names are in the discharge book): establishes the children's names when they are not properly entered in the service documents.
  • Self certificate on no other education allowance (mandatory): confirms no education allowance or scholarship has been drawn from the state government or the present employer. Drawing both makes the claim ineligible.
  • Bank account number and IFSC of the ex-serviceman (mandatory), the account into which the grant is credited electronically.
  • Aadhaar card of the ex-serviceman (mandatory) — listed by KSB among the documents to be uploaded.
  • Death certificate of a child (only if the third child claims), required where the 1st or 2nd child has died and eligibility passes to the 3rd child named in the discharge book.

Format and upload rules

  • Scan each document within the file-size limits shown on the ksb.gov.in upload screen; oversized files are rejected by the portal.
  • Upload the discharge book pages in the order KSB lists, personal, service and family particulars, so the verifier can read the record.
  • Ensure every copy is attested by the ZSWO; unattested copies are the commonest reason a file is sent back at verification.
  • Keep the originals ready, the ZSWO checks them in person at the verification appointment before recommending the case.

Common document mistakes

  • Uploading last year's mark sheet instead of the just-concluded academic year's, or a progress card that does not show the year was passed.
  • Skipping the Part II Order when the children's names are not in the discharge book. The claim then cannot be tied to the ESM.
  • Wrong bank account or IFSC, which sanctions the grant but fails the payment; if that happens, follow KSB's re-issue route (letter 181/Welfare/Re-issue/Obsn/20-21 dated 9 February 2021) through the ZSWO.
  • Missing the self certificate, or giving one while also drawing a state scholarship for the same child.
  • Forgetting the death certificate on a third-child claim, so the relaxation cannot be applied.

Special cases

  • Twins as the 2nd and 3rd children: file the two twins on one application with the same date of birth, then a separate application for the remaining child. The discharge book entry must support the twins.
  • Widow's post-graduate degree: the same document set applies, with the widow's own mark sheet for the completed post-graduate year.
